As a member of the Marketing team, the CRM Coordinator plays a key role in maintaining and optimizing the firm’s relationship management database, ensuring accurate, organized, and up-to-date records, specific to our affiliates and expert witnesses. The individual will work in close collaboration with the Affiliates Resource Specialist to update and optimize the knowledge base and infrastructure required to support a robust affiliates program. Key contributions will include the creation of new contact profiles, maintaining current versions of related documents, and supporting other data integrity and reporting efforts. The CRM Coordinator will also contribute to the continuous improvement of the database by identifying opportunities to streamline workflows and maximize functionality of the tool.

 

We are seeking a detail-oriented and highly organized individual who is comfortable working in a fast-paced environment, balancing multiple priorities, and collaborating with colleagues across teams and at all levels. This role requires strong attention to detail and will be responsible for supporting, coordinating, and executing on various affiliate support initiatives.

 

Essential Job Functions and Responsibilities:

Database Maintenance and Enhancements:

  • Support the creation and upkeep of contact profiles, ensuring information remains current and accurate.
  • Conduct routine maintenance of contact profiles, including updating links to external websites, employment and contact details, and ensuring associated documents are current and accurate.
  • Perform data entry in support of firm efforts to track contact engagement (e.g., pitches, meetings).
  • Assist in managing requests delivered to a shared inbox, which frequently involve the processing of documents associated with contact records.

 

Analysis and Reporting:

  • Generate basic reports from within our contacts database and related systems in support of both practice-specific and firm-wide initiatives.
  • Review database maintenance reports to ensure data are flowing into the system and being updated correctly.
  • Help design and implement new reports and tracking mechanisms to assist with the ongoing maintenance of our data.

 

Qualifications:

  • Bachelor’s degree, required.
  • Minimum of one year of substantive relevant experience required.
  • Experience with a CRM system or other data management system preferred.
  • Prior experience in the professional services industry preferred.
  • Outstanding client service skills, including a proactive approach to service and team collaboration.
  • Exceptional attention to detail with the ability to ensure accuracy in data entry, reporting, and documentation. Strong verbal and written communications skills.
  • A solutions-oriented attitude and ability to resolve problems quickly and effectively;
  • A high degree of professionalism and ability to work with diverse groups of people across the organization and at all levels.
  • Problem-solving skills and technical proficiency in Microsoft Office products including Word, Excel, PowerPoint, Teams, and SharePoint.
