The Executive Assistant (EA) works closely with Partners to provide superior administrative and case related support. The EA collaborates with members of the EA team and provides backup support as needed.
Essential Job Functions and Responsibilities:
- Executive Support – Provides executive-level and case support to the Partners. Adapts to Partner work style and champions EA team best practices.
- Calendar Management - Manages and maintains Partner calendars; schedules and coordinates internal and external meetings.
- Meeting and Event Support - Ensures conference rooms and other needed resources are coordinated. Assists in preparing agendas, presentations, and related correspondence for meetings, prepares background briefings, and note taking.
- Travel Management - Coordinates and manages Partner travel, utilizing the company’s dedicated travel agents. Monitors the progress of trips as needed, including after hours. Manages changes and cancellations; keeps calendars updated and all parties informed of changes. Provides itinerary for travel as well as all materials needed for trip. Coordinates Passport and Visa applications and renewals.
- Client Invoicing - Works with Partners and billing department to prepare, edit, finalize, and issue client invoices. Ensures consistency and compliance with various client invoicing protocols.
- Time Entry - Enters Partners’ monthly billable hours into timekeeping software.
- Expense Reimbursement - Expense report processing and oversight on behalf of Partner.
- Contacts Management - Maintains Partner contact information both business and personal.
- File Maintenance - Paper and electronic filings.
- Document Management - Prepares, proofreads, edits, and transcribes correspondence on Partners’ behalf, including letters, memos, emails, agendas, meeting notes, bios, presentations, etc. Creates, updates, and monitors CV, bios, quals and abstracts. Manages recommendation letter process for Analysts applying for Graduate and PhD programs.
- Special projects as requested.

Qualifications:
- Bachelor’s degree preferred.
- Minimum of 5 years of substantive relevant experience required.
- An ideal candidate will have 5-10 years of substantive relevant experience.
- Prior experience in the professional services industry preferred.
- Prior experience supporting multiple senior level executives preferred.
- Advanced PC capability (M365: Outlook, Word, Excel, PowerPoint, OneNote, Teams) preferred.
