The Meetings & Events Coordinator will work within a collaborative team to support the planning and execution of a variety of internal and client facing events, office parties and social events, and coordinate corporate gifting. Reporting to the Meetings & Events Manager, the Coordinator will work closely with both consulting and administrative staff across all levels of the organization.

 

Essential Job Functions and Responsibilities:

 

The Meetings & Events Coordinator will provide event support from conception through execution. Responsibilities include managing logistics and providing hands-on support for a range of events and initiatives, such as:

  • Local Office Events (Primary Owner):
    • Social Events – Coordinate and execute in-office parties, case team celebrations and ad-hoc analyst, associate, and admin events.
    • Other Meetings and Events – Provide support in planning and execution as needed for larger events such as the annual holiday party, summer party, and ski trip.
  • Additional Event Support:
    • Training Programs and Recruiting Events – Assist with various events and programs across the U.S., ranging in size from 25 - 300+ people.
    • Marketing Events and Conferences – Contribute to the planning of client-facing events ranging from occasional intimate dinners to large-scale annual receptions, symposiums, and speaker dinners, both nationally and internationally.
    • Firm wide internal meetings - Support major internal gatherings including the Senior Staff Annual Meeting, Partner Meetings and Retreats, and AG Orientation, all ranging in size from 60 - 350 people both nationally and internationally.
  • Corporate Gifting:
    • Research, vet and order annual corporate gifts for staff, affiliates, and event-specific needs.
    • Help organize the tracking and distribution of corporate gifts.
  • Additional General Responsibilities:
    • Create and manage event invitations, coordinate RSVP’s and manage registration processes.
    • Assist with vendor contracts.
    • Track event-related expenses throughout the year.
    • Maintain record of venue recommendations.
    • Provide on-the-ground event support including set-up and break-down.
    • Monitor and manage communications through the AG Events inbox.

 

Travel Requirements:

  • Travel required as needed for onsite management of events.

 

Qualifications:

  • Bachelor’s degree required.
  • 1 year of substantive relevant experience required. An ideal candidate will have 1 - 3 years of meeting and event planning experience.
  • Prior experience in a professional services or corporate environment preferred.
  • Excellent organizational skills, as well as strong communications skills, both written and verbal.
  • Flexibility to work in a group, as well as independently. Energetic team player who can multitask and is comfortable in support roles yet has initiative to self-start when needed and appropriate.
  • Superior customer service skills with an obsessive eye for detail.
  • Solid proficiency in all areas of Microsoft Office, Teams and Outlook required.
  • Experience with Canva, Zkipster, Zoom Meetings and Cvent preferred.
