The Executive Assistant (EA) plays a critical role in supporting the Chairman and Partner by providing high-quality administrative and case-related assistance. This position requires close collaboration with fellow Executive Assistants and includes serving as a reliable resource for backup support to ensure continuity and efficiency across the team.
Essential Job Functions and Responsibilities:
- Executive Support: Provides high-level administrative support to the Chairman and Partners. Adapts to their work styles while championing Executive Assistant team best practices.
- Board Meeting Administration: Provides comprehensive support for AG Board meeting logistics in close collaboration with the General Counsel, including coordinating agendas, materials, and speakers. Collaborates with AV, Events, and Travel teams to ensure successful execution of Board meetings.
- Calendar Management: Manages and maintains complex calendars for the Chairman and Partners. Schedules and coordinates internal and external meetings, ensuring accuracy and timeliness.
- Meeting and Event Coordination: Oversees logistics for meetings and events, including securing conference rooms and necessary resources. Prepares agendas, presentations, background briefings, and meeting-related correspondence. Supports notetaking and follow-up as needed.
- Travel Management: Plans and manages all travel arrangements for the Chairman and Partners in coordination with the company’s dedicated travel agents. Monitors trip progress, including after-hours support, and handles itinerary changes or cancellations. Prepares detailed travel itineraries and ensures all necessary materials are provided. Coordinates passport and visa applications and renewals.
- Expense Management: Prepares, submits, and tracks expense reports on behalf of the Chairman and Partners, ensuring accuracy and compliance with company policies.
- Contact Management: Maintains comprehensive and up-to-date business and personal contact information for the Chairman and Partners.
- File Maintenance: Organizes and maintains paper and electronic filing systems for efficient document retrieval and compliance.
- Document Preparation and Management: Drafts, edits, proofreads, and transcribes a wide range of documents on behalf of the Chairman and Partners, including letters, memos, emails, agendas, meeting notes, bios, and presentations. Maintains and updates CVs, biographies, qualifications, and abstracts. Manages the recommendation process for Analysts applying to graduate and Ph.D. programs.

Qualifications:
- Bachelor’s degree preferred.
- Minimum of 5 years of substantive relevant experience required.
- An ideal candidate will have 5-10 years of substantive relevant experience. Prior experience in the professional services industry preferred.
- Prior experience supporting multiple senior level executives preferred.
- Advanced PC capability (M365: Outlook, Word, Excel, PowerPoint, OneNote, Teams) preferred.
