The Administrative Assistant is responsible for providing comprehensive administrative, executive, and office services support to the local office. This role supports senior staff and day-to-day office operations, including reception, meetings and events, document production, vendor coordination, facilities support, and onboarding activities. The Administrative Assistant interacts frequently with consulting and administrative staff at all levels and serves as a key on-site resource for office operations and administrative needs.

Job Functions and Responsibilities:

  • Provide dedicated administrative support to senior and executive staff.
  • Independently manage calendars, scheduling, and client contacts.
  • Coordinate domestic and international travel arrangements in accordance with firm policies.
  • Prepare and process expense reports, timesheet entry, and related administrative documentation.
  • Assist with new case set-ups, client contact management, and practice-area documentation.
  • Prepare expert report support binders, including document saving conventions, highlighting, printing, assembling, corrections tracking, and secure destruction.
  • Update and edit senior staff CVs and coordinate timely submission to Marketing.
  • Provide general administrative support for daily office operations, including copying, document production, and Microsoft Office assistance.
  • Provide reception and front desk coverage, including answering the main switchboard in a professional and timely manner.
  • Greet, announce, and assist staff, guests, and clients.
  • Maintain neat, organized, and professional reception, conference rooms, pantries, copier stations, and other public areas.
  • Monitor, restock, and order office, pantry, and supply inventory in coordination with Office Management.
  • Handle mail distribution, courier services, shipping/receiving, and tracking of deliveries.
  • Assist with office moves, workspace setups, and seating arrangements as needed.
  • Coordinate conference room scheduling and reservations via web-based systems (Robin).
  • Arrange catering for meetings and events, including ordering, set-up, and breakdown.
  • Set up, operate, and troubleshoot audiovisual and video conferencing equipment.
  • Assist with the coordination and logistics for office events, client meetings, case team dinners, and on-site/off-site functions.
  • Produce internal and external client-facing documents, often under tight deadlines, ensuring compliance with AG quality standards.
  • Serve as a primary or secondary contact for office services vendors, including copier fleets, off-site storage, shredding, and telecommunications providers.
  • Coordinate on-site and off-site document storage, file recalls, inventory tracking, and records retention processes.
  • Assist Systems/IT with basic troubleshooting of PCs, phones, printers, copiers, A/V equipment, and wireless connections.
  • Coordinate service requests and facility work orders; monitor completion and follow up as needed.
  • Serve as an on-site contact for vendors, service personnel, and building management.
  • Support new hire, guest, and departure desk setups, ensuring equipment is properly connected and functional, and onboarding logistics.
  • Support firmwide initiatives and special projects as assigned.
  • Provide cross-functional support to IT, Human Resources, Marketing, Finance, and Operations as needed.
  • No direct reports.

Physical / Environmental Demands

  • Heavy lifting, including packages, computer equipment, paper boxes, and deliveries.
  • Regular use of computer, telephone, and office equipment.

Qualifications

  • Minimum of 1 year of substantive relevant experience is required.
  • An ideal candidate will have 1 – 3 years of Administrative Assistant or office services experience, preferably in a professional business environment.
  • Bachelor’s degree preferred.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Ability to interact professionally with executive and senior-level staff.
  • Strong organizational, time management, and prioritization skills in a deadline-driven environment.
  • Highly motivated, self-starter with the ability to work independently and take initiative.
  • Experience with office operations, document production, vendor coordination, and event support.
  • Hospitality or facilities support experience a plus.
